Families and teachers navigate an authentic and dynamic personalized learning pathway as they collaborate to choose technological devices, high- quality curriculum, and instructional activities or services that enhance the education of each individual student. The teacher will guide families in the selection of academic materials and services from our approved vendor list that supports the educational goals of the learner. The teacher and the Instructional Materials and Services department will use their best professional judgment to evaluate the appropriateness of requested materials and services. A compliant signed Master Agreement by the teacher, student, and parent/guardian is required for instructional requests to be processed by the school. Instructional materials and services should align with the student’s learning plan within the current school year and are limited to materials and services of educational quality. All materials and services must be requested and purchased through our Instructional Materials and Services department. Granite Mountain cannot reimburse families for out-of-pocket purchases made in the past, present, or future. Any issues/concerns/questions regarding your requests should be addressed through your teacher. Please do not contact vendors directly for issues with your request(s). STUDENT CANCELATION & WITHDRAWAL POLICY Granite Mountain may terminate a Service Certificate at any time with same-day written notice. The school shall pay Vendor the undisputed amounts for Services already performed under the Service Certificate. If a student withdraws from a Vendor’s program, the School’s Service Certificate shall terminate automatically upon that withdrawal. All instructional materials are the property of Granite Mountain Charter School and must be returned upon leaving the school; including recently received consumables. ALL REQUESTS ARE SUBJECT TO APPROVAL BY YOUR TEACHER AND THE INSTRUCTIONAL MATERIALS AND SERVICES DEPARTMENT (IMS). CORE SUBJECTS ART SUPPLIES MUSIC SCHOOL SUPPLIES PHYSICAL EDUCATION SCIENCE DRAMATIC PLAY GARDENING ELECTRONICS/TECHNOLOGY Laptops, tablets, e-readers, and other devices may be requested using planning amounts through the Technology Catalog in Procurify. All technology is considered non-consumable and property of Granite Mountain. MISCELLANEOUS FIELD TRIPS AND EVENTS/TICKETS Students working towards academic progress are eligible for five educational field trips per semester. Additional field trips may be approved for students who are participating in Granite Mountain Clubs, Experiential Learning, and school-sponsored activities as outlined in their academic learning plan. “OUTSIDE THE BOX” REQUESTS Granite Mountain Charter School is committed to supporting individualized educational goals. Please contact your teacher for items that might be considered “outside the box” for guidance and suggestions. “Outside the box” requests are subject to review by the school’s Secondary Approval committee. MATERIALS Materials or courses requested by the parent/guardian and purchased by the school are non-returnable/non-refundable, unless defective. It is the responsibility of the parent/guardian to ensure that they have provided the school with the most up-to-date physical and shipping address information. Without the proper information on file with the school, instructional materials may be shipped to outdated addresses at no fault of the school. Material requests are subject to fulfillment through an alternate vendor for any reason deemed necessary by the school. Due to processing times, our department is not able to guarantee that your items will be purchased with any included coupon codes, sales prices, or special promotions in place by any given vendor. The school cannot purchase instructional materials from international merchants. Remember to factor approximately 20-25% in additional costs due to shipping, taxes, and/or handling/processing fees required by the vendor during the purchasing process. Exact costs will be applied to the student’s planning amount after the vendor has invoiced the school. Planning amounts can only be used to purchase supplies that could be found in a brick and mortar public school, the school cannot pay for materials that are above educational quality. At no point should materials be used in any way to generate revenue for students, families, or third parties. All materials must be nonsectarian. Please check item descriptions thoroughly. All materials must be requested and purchased through our Instructional Materials and Services department. Granite Mountain cannot reimburse families for out-of-pocket purchases made in the past, present, or future. Out of Stock Items In the event an item is out of stock the school will cancel the item and contact the HST to request a suitable replacement. The HST will then have one business day to connect with the requester and respond to the school with their newly submitted request for the approved replacement. If after one business day no communication has been made, the requested replacement will no longer be expedited and sent to the back of the ordering queue. Price Increases In the event an item's price has increased more than $10 or is no longer of educational value, the HST will be contacted and have one business day to place a request for a replacement that supports the student’s learning plan. If after one business day no communication has been made, the item will be canceled without a replacement. Secondary Review In the event an item on your request requires additional review by the school’s Secondary Approval Administrator/ Committee, that item is subject to a delay in processing. The school will process the remaining items on the request so as to not delay the receiving of the other educational materials. If the item under review is found as an acceptable purchase for the school it will then be processed at that time. CONSUMABLE VS. NON-CONSUMABLE Consumables are materials that are not able to be used again by another student. Examples of items include workbooks, paper, pencils, student manuals, common art supplies, notebooks, 3-ring binders, consumable items as part of a subscription kit, online subscriptions, etc. Non-Consumables are materials that may be used again by another student. Examples of items are textbooks, hardcover or paperback books, paperback novels, microscopes, telescopes, magnifying glasses and other science items, math manipulatives, musical instruments, teacher guides, items in any kit (including subscription kits) that can be reused by another student. DAMAGED AND MISSING MATERIALS Families must contact their teacher immediately regarding the damaged or missing item(s). Please do not contact the vendor directly if there are any issues/questions regarding your request. Contact your teacher directly for any issues (incorrect items, incomplete shipments, damaged items, etc.) within 14 days of your request being processed by the school. Failure to do so could result in the vendor not replacing the item(s). SERVICES Service requests must be placed before the start of the course/class and subject to approval by the teacher and Instructional Materials and Services staff. Service dates may not be backdated. If a Service Certificate is not going to be utilized, you must notify the school prior to the start of the service dates listed on the service request. Failure to do so may result in the inability to cancel the certificate, or have a credit applied to the planning amount. All cancellations are subject to each vendor's cancellation policy once a certificate has been issued. Service Certificates may only be issued for currently approved service vendors. Service Certificates are issued for up to three months at a time, no more than two months in advance of the first date of services. The Service Certificate will detail requested services, dates of services, fees for services, and other relevant information. Vendors must first receive a Service Certificate before providing services to students. Granite Mountain is not responsible for the costs of services without the issuance of a Service Certificate. If a student attends services without an approved service certificate, the parent/guardian will be responsible for any vendor charges. Planning amounts may not be used for registration, testing, or assessment fees. Students must be enrolled with Granite Mountain Charter School at the time services are received/rendered. If a student withdraws from the school while receiving approved services all issued Service Certificates are void beyond the student’s last date of enrollment. The vendor will be contacted and informed of the student’s withdrawal from the school and any payment for services rendered after their date of withdrawal would be the responsibility of the parent/guardian. All services must be requested and purchased through our Instructional Materials and Services department. Granite Mountain cannot reimburse families for out-of-pocket purchases made in the past, present, or future. ONLINE SUBSCRIPTIONS Educational online subscriptions may be requested when they align with the student learning plan. Subscriptions will be purchased for the smallest number of months offered by the vendor, not to exceed 12-months. The deadline to request annual online subscriptions is September 3rd, 2021, six-month subscriptions November 30th, 2021, and three-month subscriptions, February 28th, 2022. MAGAZINE SUBSCRIPTIONS Educational magazine subscriptions may be requested when they align with the student learning plan. Subscriptions will be purchased for the smallest number of months offered by the vendor, not to exceed 12-months. When requesting a magazine subscription it is at your own risk. Magazine vendors do not provide tracking information. The deadline to request annual magazine subscriptions is September 3rd, 2021, six-month subscriptions, November 30th, 2021, and three-month subscriptions, February 28th, 2022. MONTHLY MATERIAL SUBSCRIPTION KITS Educational subscription boxes, delivered on a monthly basis, may be requested to support the student learning plan. Subscriptions will be purchased in the smallest number of months offered by the vendor. The deadline to request annual subscriptions is September 3rd, 2021, nine-month subscriptions, September 24th, 2021, six-month subscriptions November 30th, 2021, and three-month subscriptions, February 28th, 2022. When possible, if the original request is not submitted with the smallest number of months offered by a vendor, the school will automatically update the length to the appropriate number of months in order to finalize the request without delay. *We may not purchase subscription boxes that include any edible materials or require recurring payment. SHARED CURRICULUM When siblings residing in the same household utilize an identical curriculum, and as noted in the student's learning plan, Granite Mountain will allow the curriculum expense to the school to be evenly distributed between each sibling's planning amount. This can occur only when permitted by the curriculum publisher.
