Greetings Event Management Students , The Event Management program is hosting The Conferen ce once again this November through the EVENT 486x course as an opportunity for students to implement a one - day event for all Iowa State University students and community members to come together to be inspired, refreshed, and engaged with ot hers. If you’ve completed EVENT 371, will have completed EVENT 485 by fall 2020, and wish to be a part of The Conference in 2020 , you are encouraged to apply for E VENT 486x. Students selected for EVENT 486x will earn 3 credits in the fall 2020 semester by successfully serving on one of three committees that will determine the theme and will implement all aspects of The Conference. Please review the committee descriptions bel ow. LOGISTICS & OPERATIONS  select and reserve all conference locations and spaces  acquire permits & confirm insurance  d evelop and implement a ri sk m anagement plan  plan and create décor  set - up décor  order and oversee all aspects for merchandise in collaboration with the Education & Entertainment committee  obtain food and beverage vendor bids  determine the menu for snack breaks  responsible for all food and beverage set - up and distribution  create and set - up signage and wayfinding  acquire equipment  create and implement all room set - ups  develop an evaluat ion tool for assessing the participant experience  develop an evaluation tool for assessin g vendor, talent, and speaker experience  manage purchasing, expenses, and oversee budget  plan and implement one fundraising initiative  secure event sponsorship  w ork with all committees to develop a Conference function sheet MARKETING , PUBLIC RELATIONS , & REGISTRATION  develop and maintain The Conference website  create and distribute invitations  create and distribute promotional materials  create and install a display for the MacKay showcase window  create and maintain The Conference social media accounts  partner with Logistics and Operations committee to plan and create décor  create and monitor branding  create The Conference program  create and order conference swag and merchandise  oversee live capture of all event act ivities, including photography, videography, live streaming, Instagram, Twitter, and Facebook  determine conference registration system structure  set - up early bird process  plan and manage online registration operations  plan and manage on - site registration o perations  manage purchasing, expenses, and oversee budget  plan and implement one fundraising initiative  secure event sponsorship  work with all committees to develop a Conference function sheet EDUCATION AND ENTERTAINMENT  plan and implement pre - conference experiences and content  coordinate with Event Management academic advisers and the College of Human Sciences Recruitment Office to incorporate student recruitment activities  create and produce conference breaks  plan the conference sessions  responsible for vendors, speakers, and talent  select merchandise and order all merchandise in collaboration with the Logistics & Operations committee  distribute all on - site conference materials, swag and merchandise  recruit, secure, and host the conference speakers, talent, and all vendors  manage expenses, purchasing, and oversee budget  plan and implement one fundraising initiative  secure event sponsorship  work with all committees to develop a Conference f unction sheet To apply for EVENT 486x, you must :  H ave completed EVENT 371  Have successfully completed EVENT 485 (before the fall 2020 semester)  Be on camp us and attend The Conference i n November ( EVENT 485 and EVENT 486x are both considered part of the Event Management Electives category. ) Applications are due on Wednesday, March 11 at 5 p.m. Students will be asked to complete a 15 - minute interview in late March. Selection s will be made in early April and t hose who are accepted will be en rol led in EVENT 486x for the fall term, which is scheduled to meet on Tuesdays between 9 a.m. – Noon.
