Everyone Active Middlesbrough Sporting Village - Cycling Facility FAQ General Facility Questions When is the facility reopening? The reopening of the facility is 1st September and online booking is available from Monday 10th August. Have any major changes happened to Everyone Active Middlesbrough that I need to know of? There have been several changes that will affect you and your club deliver regarding the use of both cycling facilities on site. There is now a cycling-specific car park which is the car park situated at the end of the 4G pitches and the velodrome. There is a new entry point for getting on to the circuit which is situated to the back of the facility. You will now need to use them through the path that gets you to the back of the circuit and entry through a gate that has been created (if you were following the circuit normal direction it will be when the turn goes downhill). APPENDIX 1 What consideration has Everyone Active Middlesbrough put in place to mitigate risk? Everyone Active has put hand sanitizers at entry points at both the circuit and the velodrome. Will the public be using the facility? They will be no public use of the facility. It will only be available for pre-booking so the facility should be clear when you arrive. There will be spaces between bookings so that there is less risk of cross over between groups. Will any other programs be delivered at the facility other than club delivery in 2020, for example, the disability hub? Unfortunately, programs like the disability hub will not be delivered until 2021. Is the hut at the circuit available to use? We recommend that you do sign on outside as much as possible to limit the number of people entering the hut. You should be able to access the toilets within the hut but we recommend that this is the only reason the hut should be used and that measure is taking within the huts including one-way system and a maximum number of people five people entering at one time. Where do I get keys for the velodrome? Keys will still have to be collected from the main reception at the main facility. Booking Questions Are there any changes to booking the facility I need to know? All bookings of the facility must now be done online through their website https://www.everyoneactive.com/clubs-and-facility-hire/. Invoicing terms have now changed to payment up front. What is the price to use the facility? The prices are currently £42.00 per hour for non Go-Ride clubs / £37.50 per hour for Go-Ride Club for the circuit. The price for the velodrome will differ depending on if you are also hiring the bikes which you will have to consider when booking the velodrome as this will need to be added to your risk assessment. These are available via [email protected] Will I need a supply a risk assessment when booking? You will be asked to provide an NGB risk assessment this is available from Jack Rees ([email protected] ) which will also include pre and post-mitigation risks. These have been approved by Everyone Active Middlesbrough. You will have to attach your own Middlesbrough specific risk assessment with the additional documents you have received from British Cycling. APPENDIX 2 & 3. What if my group of participants cannot use technology but want to use the facility? You will have to book through Everyone Active for all sessions as this is a national requirement. Remember this is for a group booking so you only need one person to do the online booking, but that person must have all the relevant documentation including risk assessments for the session to be booked. If due to weather, you could not use the facility what would happen to my booking? You would need to get in touch with Middlesbrough and they will either refund you or they will roll it over for you. Can I just book the facility on the morning of the session? We suggest you give some time for the booking of the facility. This is due to it having to be approved centrally by Everyone Active and not by Everyone Active Middlesbrough. We recommend giving it around 6 days for booking. We do not believe booking ad hoc will be possible in the short term. How best am to go around booking a weekly session if I am not booking a block series? We recommend that you book the day after your session. For example, if your session was on a Monday and you wanted to book the Monday after. We recommend that you book on Tuesday for that Monday session. When can I book sessions from? Booking can start from Monday 10th August for sessions to start after 1st September Will you be able to see what slots are available on the online booking? Yes, you will be able to see what timing is available and any timing that is not available will either be blocked out or not shown on the website. If I had a group slot that booked regularly before COVID-19 is this still be respected by Middlesbrough? We have confirmed with Everyone Active Middlesbrough that if you did have a slot booked before COVID-19 these will be respected. Do I need to pay all the block booking upfront? We believe that they will reserve a slot for you long term but may ask you to pay for at least a calendar month up or weekly depending on the income of the club. Everyone Active have enabled all bookings during September to be free of charge. This is to enable clubs to pilot smaller sessions or events and also to build reserves to enable them to meet the new payment up front invoice methods. Do I need a qualified coach to deliver sessions and book the facility? In order to book the velodrome for the cycling circuit for coaching delivery you need to a British Cycling Level 2 coach present. Going Forward What do I need to do next? With the information, you have received from the meeting and this document you should relay the information to your users and your committee through your communication streams. If I am interested in running an event but have some concerns regarding this who do I contact? Footpath that links car park to the new entry point not visible on the aerial view New entry point for cycling circuit access Recommended Cycling Car Park APPENDIX 2 Risk Assessment Guidelines & Considerations (APPENDIX 3 is a separate RA document) General • Prior to delivery coaches will need to complete an audit of their fleet, as they have been left unused for a number of months. • Coach to be provided with a hygiene kit • Pre inspection of delivery and spectator area completed and risk assessment adjusted / completed accordingly. • One way system for entry and passage through the delivery area • Encourage a maximum of one parent to attend the session, to reduce numbers on site. • Parents are encouraged to return to their cars during the session however if they do wish to watch the sessions, to do so from the spectator area, ensuring it is big enough to maintain social distancing. Pre • All those attending classes (parents and children) should be symptom free and have no one in their household with symptoms (pre activity questionnaire / declaration) all details participant details shall be recorded. • Pre-registration for sessions to minimise any grouping or waiting • If multiple sessions are planned ensure ample time between sessions. • Ensure the zone and delivery area is set, providing enough space to enable social distancing. During • Maintain social distancing at all times during sessions. • Parents will be actively encourage not to spectate at the activity, minimising people at the coaching area. Set up a spectator area if parents do stay, ensuring it is big enough to maintain social distancing. • Practice good hand hygiene throughout the session ensuring hand sanitizer is available for all participants. Post • Ensure bike and helmets are cleaned thoroughly between sessions (if hire bikes and helmets are being used), focusing on touch points. This must be completed prior to rotation and loading of bikes and / or any subsequent sessions. The Coach will have access to hand sanitizer, antibacterial wipes and spray, gloves and face masks. • Following the session participants and parents are encouraged not to linger to prevent any crossover between groups. • Keep registration details of all participants for a minimum of four weeks, for track and trace purposes.
