Airstream Unit & Equipment • Could you please confirm the specification of the Airstream trailer and what equipment is included as part of the concession? Please see Inventory of equipment HERE The list is not exhaustive and may be subject to change depending upon the successful operator • Are oven, refrigeration units or additional small countertop equipment permitted subject to approval? As above we will work together with the operator to provide suitable equipment either ours or the operator’s to suit agreed menus 2. Food Preparation • Are there any restrictions relating to dough fermentation or fresh bakery preparation? No as long as all food preparation complies with the following: Food preparation in the UK is governed by the Food Safety Act 1990 and supported by more recent regulations, including the Food Hygiene (England) Regulations 2013, retained EU hygiene law, and the Food Information Regulations 2014 (as amended by Natasha’s Law, 2021). Together, these require food businesses to ensure food is safe, properly handled, hygienically prepared, and accurately described and labelled, with particular emphasis on allergen transparency and risk - based food safety management (HACCP). 3. Storage Facilities • Is there any dry storage, chilled storage or freezer storage available on - site? We are looking at some dry storage outside of the Airstream and provision of freezer storage within. Again we will work in partnership to achieve suitable solutions to storage once we have appointed the successful operator. 4. • Based on the Council’s trial period, could you provide any indicative information regarding: • average daily footfall, • seasonal fluctuations, • busiest trading periods, • average customer spend, • or projected transaction volumes? Alcohol Licence • Could you clarify the scope of the existing alcohol licence and any operational limitations relating to alcohol sales? See Below attached a copy of our Premise s L icence. Activities permitted under this Premises Licence are restricted to those considered compatible with the heritage nature of the site. The BCP Council Site Managers retain absolute discretion to determine compatibility and their decision shall be fin al. 6. Branding & Marketing • Are operators permitted to apply their own branding elements to the concession unit? Subject to discussion with the successful operator. The outlet will be known and branded as the Courtyard Café, but subtle and clever branding ideas will be welcome. • Are there any signage restrictions beyond those outlined in the specification? This is subject to discussion and agreement with the operator with a view to maximising footfall. Generally signage will be on the immediate approach track (100m max) and within the Courtyard and Visitor Centre surrounds. • Would operators be encouraged to co - brand social media activity with the Visitor Centre? Yes we wish to work in partnership to maximise engagement with the public. 5. Seating & External Space • Is the courtyard seating area shared with other users or dedicated solely to the concession? The seating area is shared with other users of the facilities, shop and Exhibition. This could be seen as an issue but it has not arisen. If required in busy times we could signpost seating as reserved for café users • Is there flexibility to introduce seasonal decorative elements, planters or approved soft branding within the seating area? Yes we would wish to introduce seasonal elements and or for special occasions such as Halloween. We will work with the operator to achieve this. 6. Events & Extended Trading • Approximately how many special events take place annually at Hengistbury Head? In 2025 - 26 we had more than 600 events. The majority (80%) of these did not warrant extended trading as they occurred at normal operating times. A limited number of evening / early morning events related to activities / walks on the nature reserve take pla ce. A list of these will be supplied ahead of time to plan catering opportunities. There may be events and activities which the operator feels would be suitable for this location – these can be discussed. Yes we would be looking for an operator who wished to work in partnership to boost out of hours events. Again forward planning with the operator would be key to this. 7. Sustainability Expectations • Does the Council currently have preferred sustainability targets or environmental standards that operators are encouraged to meet beyond the specification requirements? The specification requirements are the minimum standard. We would be prefer to work with an operator that wishes to promote sustainability and biodiversity as part of their offer. 8. Utilities & Waste • Could you confirm whether water, electricity and waste disposal are fully included within the licence arrangement? Yes that is correct. • Are there any usage limitations that operators should be aware of? The expectation is that the operator will work sustainably with us (as above) thereby limiting unnecessary wastage. 9. Mobilisation Period • Could you clarify the anticipated mobilisation timeline between contract award and commencement of trading? We intend to award a contract by the 15 th July 2026 so that the operator has time to plan. The contract start date is subject to change depending upon the arrival of the Airstream unit which currently is circa 15 Th August 2026.
