MENTORING EXPECTATIONS For Mentors • Mentors are expected to spend ½ hour every session (2 week period) talking with their mentee group. • Mentors are expected to be the ones to reach out and coordinate time to chat with their mentee group. • Mentors are expected to discuss the mentoring topic during their weekly/biweekly discussions, and to follow the rules and regulations. MENTORING EXPECTATIONS For Mentors • Mentors are expected to send screenshot verification of their mentoring sessions at least once every 2 weeks (more on this later) • Mentors and mentees are expected to honestly fill out the survey worksheet at every session to document that mentoring has taken place. MENTORING EXPECTATIONS For Mentees • Mentees are expected to spend ½ hour per session talking with their mentoring group. • Mentees are expected to discuss the mentoring topic of the week during their weekly discussions, and to follow the rules and regulations. • Mentees are all expected to participate in the group conversation. • Mentors and mentees are expected to honestly fill out the survey worksheet every week to document that mentoring has taken place. MENTORING DO’S AND DON’TS DO: • Keep the mentor-mentee relationship professional at all times • Respect the mentor AND mentee’s time • Maintain confidentiality at all times unless you’re given permission or a crisis intervention is necessary • Be explicit about “norms” and set needs/limits. • Always ask if suggestions and feedback are accepted. DO: • Mentors: Tell your mentee that you don’t expect them to follow all your suggestions. • Mentors: Expect your mentee to move toward his/her own goals and not yours. • Express appreciation to any help your mentor/mentee provides • Recognize and work through conflicts in a respectful way. DO: • Mentors: Stay positive – Identify the mentees strengths, needs, and goals; and work to develop each of them. • Keep the lines of communication open for contact in the future; if that is what either party desires. • End the mentor-mentee relationship on no-fault terms – resolve conflicts. DON’T: • Undermine the mutual trust of the mentor-mentee relationship. • Assume that your schedule always has priority – is more important. • Mentors: Don’t make your mentee guess or learn by trial and error, about the protocol for your meetings. • Automatically give advice or criticism and assume your advice will be followed. • Mentors: Don’t expect a duplicate of yourself. DON’T: • Take each other for granted or assume the mentee does not need positive reinforcement. • Develop a personal, non-professional relationship. • Discuss inappropriate subjects and force your solutions in conflicts. • Lend money or purchase personal gifts for each other – keep it professional. HOW TO CONDUCT WEEKLY/BIWEEKLY MENTORING SESSIONS Mentors: Get with your mentees either in-person at HCOP, or via e-mail, to set a time when all members can chat. Don’t assume everyone will find a time as the week goes on, set a time with everyone ahead of time. Everyone is then expected to stick to that plan. Mentees: If you agree to a time to chat, and then you flake on your group, it is NOT your mentor’s responsibility to “make up time” with you later. Remember: The expectation is 30 minutes per 2-week period minimum. You can do all 30 minutes at once, or split it into two 15-minute sessions, whatever works for your group’s schedule. Mentors: We will send out a new mentoring topic, along with some resources, via e-mail on the Monday following an HCOP session. This is your topic until the next session. We know mentors and mentees are all individuals, so the mentoring topic is just a guide to get your conversations going. Don’t be afraid to go off topic (as long as it’s still a professional topic! I.E. not “Do you do a lot of partying in college?”) As mentioned earlier, mentoring during the week should take place over video chat. This can be: Whatsapp WeChat Facebook Messenger FaceTime (video chat) Verifying Mentoring Time • Before you “hang up” from your mentoring time, it is the MENTOR’s responsibility to take a screenshot showing: • Everyone in the chat • Duration of chat • It is then the responsibility of the MENTOR to e-mail this screenshot to [email protected] • DO NOT END YOUR GROUP CHAT without getting a screenshot! This is used for verification purposes on our end.
