RULES AND REGULATIONS TGCG.run 2023 1. Entrants are required to abide by the Race Rules and Run Commander’s directions. 2. Entrants for the full marathon 18 years & half marathon must be 16 years or older on race date. For other categories it is given in race information document or webpage. 3. Entries to the LetsRun TGCG are personal to the applicant, entry fees are non- refundable and non-deferrable. Any runner who competes in another person’s BIB will be disqualified. Numbers are issued to the individual athlete completing the application form except with the specific authority of the Race Organiser. 4. No refund can be given if the race has to be cancelled or postponed due to circumstances outside the race organizers’ control 5. The race organizers reserve the right to refuse or cancel applications, including duplicate applications, or alter the date of the event, the course route or distance 6. The race organizers, sponsors, charities, suppliers and/or their agents will not be liable for any injury, loss or expense which may arise in consequence of your participation in this event. 7. All runners are required to complete the personal, contact and health details form on the back of their race number. 8. There is a cut off time for the start – if you arrive later than cut-off time mentioned in race information booklet or website you cannot be qualified. 9. No wheeled vehicles (pram’s, buggies etc), dogs, following cycles are allowed along the entire track and anyone found assisting runner, the runner will be disqualified. 10. We strongly recommend that you do not race wearing headphones, you need to be fully aware of the surroundings 11. Race Commanders and medical team members have the authority to disqualify and remove any runner they consider to be acting dangerously, or to be unfit to compete 12. Disqualified runners will be removed from the race results and may be banned from future Events 13. We do not require competitors to wear official club or team they can wear any sports jersey of their choice and comfort 14. Care must be taken to assist fellow runners who happen to get injured during the run and report any casualties immediately to the nearest first aid post or race commanders. 15. In the event of any dispute the decision of the Race Referee and Race Director shall be final 16. It is important to note that we shall be using Bib Tag with the timing device already being attached to your number and it is very important to wear your number clearly visible on the front of your running vest/t-shirt. Your number must not be altered in anyway or covered by any clothing/tri belt. Do not bend twist or fold your number. 17. Do not use the Coupon Code more than once and in case of any duplicate use later one will be disqualified 18. You are not eligible for assistance from your coach or friends en-route or in Start line or holding area, if you need assistance contact volunteers 19. Run guides only mean to assist, runners have to rely on their own discretion while running on the track. 20. If any runner / attendant / friend / coach is accompanying you he must have a valid bib / ticket else Race director has right to ask him to leave the event premises or disqualify runner. 21. All minor entering must have a consent from parent / guardian 22. Children running with guardians are responsibility of guardians. 23. We will follow chip time and runners are required to go through all timing mats laid down on road. We don’t have any race officials or route escorts. Runner are on their own and are supposed to know the route prior to competition. 24. Anyone without bib / valid ticket / event ID shall be asked to leave area marked by organisers for run and refreshments. 25. Hydration / snacks / support material is only for the event participants and no one else without valid ticket will be allowed to take use of it. 26. All props / material used for event are respective property of owners and anyone tempering it will be liable for legal action 27. Every participant has to make their own arrangement for travel / stay / food on own and organizers may not supply it. 28. All communication will be done by email, WhatsApp and SMS 29. Any race day audio, video, or visual recordings made by a participant at the TGCG 2023 Expo or on race day are to be used only for personal purposes; these cannot be used for any commercial purpose. The official photographer of TGCG 2023 is Wedding Gatha and individual photographs of runners will be available for sale and download on the event website 1-week post-closing hours of race day. 30. Application fees shall not be refunded by virtue of non-participation, including failure by a confirmed participant to collect his/her bib from the Expo or not allowed to run on the race day due to high temperature or being unwell. 31. Event Promoter reserves the right to amend or alter the terms TGCG at any point in time without any notice. 32. The Promoter reserves the right to disqualify or exclude any person from the event/competition who gives incorrect personal data/details on the entry form, or who is suspected of having taken banned substances. No refund of entry fee will be made. 33. No result or certificate will be given to runners who do not start their run at the respective start times of the race categories they have been confirmed in. 34. Please note if you tamper with the bib tag in any way or remove/exchange it with another runner, you won't be able to get an official finish time and thereby the official timing certificate recording your finish times. No Chip, No Timing, No Prize Money. 35. Only those confirmed participants wearing the current TGCG 2023 running number bibs will be allowed on the route. Any person found wearing the incorrect bib or no bib will be disqualified and removed by security. 36. Participants are requested to cooperate with the police and security personnel deputed at the event venues and on route. Participants/supporters are liable to random checking on race day, this is for your own security. 37. Photographs taken of runners during any TGCG event organised prior to and on race day can be used for the purpose of promoting the event. PRIZE ANNOUNCEMENT & MONEY DISTRIBUTION: 1. Prize winners are eligible to receive only one prize. 2. Each participant can only win in 1 category, in such case race qualification in other categories will be considered void. Prize will be given for the category which is higher. 3. In case of result dispute or 2 or more winners having same timing; prize will be shared between them. 4. Prize will be given only to runners registering for Competitive category. Non- competitive category may have prizes for motivational purpose only (subject to availability). 5. Competitive runners will have to submit all documents online / offline before run and after run as needed, falling to do so they may be disqualified 6. All results announced on event day are provisional and final results may change upon verification later, the final result will be declared on or before 27th December 2023. 7. All prize winners (competitive or non-competitive) will be required to produce valid documents / bank details which shall be verified and prize will be given within one month of race result declaration after deduction of requisite taxes. 8. Prizes / Ranks will only be declared if a minimum of 10 runners finish the race in respective category. However this decision will be on Race director to conclude. 9. The winners’ names in the different categories will be announced at the conclusion of the races. However, this will be a tentative list, subject to final analysis and confirmation by the Race Officials and Timing authority 10. The winners’ cheques / online transfer will be done, within 30 working days after the announcement, once the winners’ list has been ratified by the officials and there are no conflicting claims over any particular Prize / Ranking. 11. Prize Money winnings are subject to Indian Income Tax Rules as applicable and taxes, if deductible, would be borne by the winner. 12. Prize winners declared may be required to submit further proof of identity/age, as may be required by the organizers, for disbursement of prize money. 13. The winners should not remove their bibs before Prize distribution. 14. Their bibs should be clearly visible during the prize distribution, not covered by jackets etc. 15. The prize money shall be given to winners in the form of Cheques / Online transfer only. 16. In case any question arises or a controversy exists that is not already covered by the prize/ranking rules, the decision of the Organisers [TGCG team] will be FINAL. 17. Organiser’s decision on rankings and entitlements of prize money will be final and binding on all. BIB COLLECTION: 1. All confirmed participants are required to come to Expo, and order to collect their running number bibs. No running number will be posted to an individual’s mailing address nor distributed on race day, 2. It is mandatory for the participant to collect his/her running number bib personally from the Expo. In case of unavoidable circumstances, such runner can send his/her authorised representative to collect running number bib on his/her behalf. Authorised representative must carry with him/her: a. Soft Copy of Confirmation Email/SMS with BIB Number details b. Soft Copy of Photo-identity proof (Aadhar card, PAN Card or passport) of the confirmed participant. 3. Maximum of two race kits will be issued to one individual. A registered participant can collect race kit for himself and one more person ONLY. 4. The race kit will be issued only upon seeing the confirmation email/SMS with bib details. 5. Note: NO Bulk/Group race kits collection will be accepted at the EXPO without prior notification PROTESTS AND APPEALS: a. A. The athlete and/or his/her representative can appeal to the Race Director in relation to the Official race results declared, in writing, within 30 minutes of the interim official announcement of the results of relevant race category on race day. b. B. The protest letter needs to be submitted at the Help Desk along with a non- refundable Protest Fee of INR 1,000/- c. The reply of the appeal submission will be after 15 days via email. MEDICAL ADVICE: 1. If you suffer from any form of medical condition, you must mark the front of your number with a prominent waterproof cross. Please give brief details of your medical condition and what medication you take on the reverse of your number. REFUNDS 1. As we incur administrative, medical and other expenses the moment you register, it is not viable for us to refund any tickets once already sold. TRANSFERS 1. Transfers of an entry to another person is not permitted please note that your race number must not be given to anyone else, this will result in them being disqualified and also if part of a team, this will result in the team being disqualified. 2. You will not receive any notification until your race pack arrives 5-10 days before the event. Your email is the confirmation. FAQ Q. What are the various race categories and their distances? 1. We have 4 categories: • 42KM Marathon • 21K Half marathon • 10 KM Beginners delight • 6 KM Dream Run Q. Is there any upper age limit for each race? • For 42km Marathon the age should be 18 years plus • For 21km Half marathon the age should be 16 years plus • 10k & 6k children between 6 to 14 can join with parents under child ticket. • Above 12 they have adult tickets. Q.Is there parking at the start area? 1. Yes there is a parking in Start area. Follow the marked directions leading to it on the day. Q. Are there toilets at the venue & along the course? 1. Yes there are toilets for ladies and gents in start area. Along the run course it’s not there. Q. Will there be medical assistance? 1. Yes, there will be basic First aid on run day, however if you feel you are unwell we would advise not to run. Follow your medical doctor’s advice. Q. What are the aid stations serving? 1. Aid stations will have water, glucose they will also provide you with any other assistance if you may need Q. Can i run for a cause? 1. You are free to spread your message as long as it's socially acceptable. Q. Is it okay to walk during the event or do I have to run the entire route? 1. Pace yourself to your capabilities. You may run, walk or stroll depending on your comfort. Take your own time. RACE FEES Q. What are the various modes of payment? 1. We have 2 modes of payment • Online: Our registration website features secured gateway and all standard payments systems for payment • Offline: we offer corporates and big groups to register via excel and pay by cash or aby method Q. What is the last date for registrations? 1. Last Date of registration 7th Dec 2023 Premium Registration with late fees will occur between 10th to 15th Dec 2023. These will be non-named bids and no guaranty of goodies. Q.Will I be able to change my race category once my application has been accepted? 1. No it won't be possible. Q.Will I be able to cancel my registration and get a refund once my application is accepted? 1. No we won't be issuing any refunds for cancellation. Q. I have not received my registration confirmation email 1. The mailing system is automated and your registration reaches you, however if mail is not delivered contact us ASAP – letsrunteam@gmail.com Q. I missed the last date to register. Can i register if you still have a vacant slot? 1. NO you can’t – better luck next time Q. Will i be permitted to transfer my registration to a friend? 1. No that won’t be possible Q. On what grounds can my entry be declined? 1. We don’t have a fixed grounds – some points are listed in rules and regulation tab in our registration site. But race director's decision will be final. Racer-Kit collection Q. Can someone collect my racer kit on my behalf? 1. Yes anyone with Registration copy of confirmation mail or SMS that you will get one day before bib collection can have the bibs and kit. Q. Where will be Race kit and bib collection point and date? • Address: To be announced later • Date is 15th & 16th December 2023 time will be emailed and texed This will be your only opportunity and place to collect the Bibs and no requests will be entertained later. Race Day Q. Is there any prize money for winners? 1. We have prizes for runners in competitive category and for non-competitive we may have some gifts Q. Will i receive a finisher medal? 1. Yes we are providing finisher medals Q. When will i get my finisher certificate? 1. Yes an E-Certificate will be provided to all that can be downloaded and printed Q. What are the start times for the races? • The 42km Marathon starts at 4:00 am • The 21km Half Marathon starts at 5:30 am • The 10 km Beginners Delight run starts at 6:30 am • The 6 km Dream Run starts at 7:15 am All runs start on the dot, with even one person at the start line Q. What is the cut off time for the race? 1. Yes there is a cut off mentioned in our run details webpage and PDF Q. What if i cannot finish my run? 1. If at any time, you cannot go further, contact our medical aid staff or on-ground volunteers immediately to assist you.
