Activity Requirement s Hainan Virtual Airlines requires each pilot to submits one pilot reports (or PIREPs) every 365 days. All PIREPs must be submitted using Pegasus ACARS and received an Approved PIREPs. • If the pilot is unable to submit the PIREPs via Pegasus ACARS, then pilot can submit a manual PIREP through Book Flight > Dispatch Flight > Create Booking > Booking Actions > Manual PIREP / File a Claim. o However, if the pilot decides to submits a PIREP manually, the pilot need to provide a link from an approved alternate tracking source in the comment section of the PIREP to verify the flight was completed. o The approved alternate source is VATSIM and Volanta. Inactivity Notifications 1. An inactivity notification will be sent via emails to pilots who are approaching to not meet the activity requirements. 2. Flight activity requirement: a. Pilot must complete one flight every 365 day to maintain active status. b. After 365 days of inactivity, the pilot will be placed on warning status. c. Pilot on warning status are not permitted to file manual PIREPs to restore active status. d. If no valid flight is filed within 30 days after being placed on warning status, the pilot will be terminated from Hainan Virtual Airlines and will lose access to all Hainan Virtual Airlines resources. 3. Pilot that are terminated due to inactivity must contact Human Resources Department to request a reactivation to regain access to our system. 4. Newly hired pilots must file their first PIREP within 30 days using Pegasus ACARS and receive an Accepted PIREP. a. Submitting an LOA Request a. Pilot may request a Leave of Absence via vAMSYS which are also called “Holiday”. b. A minimum 90 days of Account Age is required to submit a Holiday request. 2. LOA Duration and Frequency a. All LOAs are granted for a standard duration of 90 days. b. Pilot may not request an LOA more than twice within a 120 - day period. c. Any requests for exceptions to the 90 - days standard must be sent via email to the Human Resource Department. 3. Returning for LOA a. Manual PIREPs will not be accepted to fulfill this requirement b. Failure to file an accepted PIREP may result being terminated due to inactivity. Special Leave Member can request a special leave due to military, medical, family, etc. These are exempt from the standard Leave of Absence policy. These should be requested via email to Human Resources Department. The Director of Human Resources and designated Supervisors are responsible for evaluating and issuing pilot suspensions when necessary. Suspensions will be enacted if a pilot is found to be in violation of any regulations, procedures, or policies outlined in this Standard Operating Procedure (SOP) or the Hainan Virtual Airlines Code of Conduct. 2. Suspension Rules: a. First Offence: Maximum 90 - day suspension b. Second Offence: Maximum 180 - day suspensions c. Third Offence: Discretion of Executive Team d. Fourth Offence: Removal from Hainan Virtual Airlines 3. Depending on the severity of the violation, the Director of Human Resources and Supervisors may bypass suspension and proceed directly with pilot termination. 4. Requests for appeals to a suspension may be addressed and sent to the Director of Human Resources or the Chief Operation Officer. 5. PIREP Approval Criteria Pegasus ACARS Pegasus ACARS (Aircraft Communications Addressing and Reporting System) is a digital datalink system for the transmission of messages between aircraft and ground stations. In the virtual airline world, ACARS software tracks your flight, records data, and submits y our flight reports automatically. If the flight does not meet the standard, it will be mark as “need review” for manual review by the Safety Team. The following are common reason a report may be held: Simulation Rate – The simulation rate of the flight was recorded. All pilot use simulation rate more than 1X will result an invalid PIREP. Fuel – This is triggered if the Pilot land with less than company fuel minimum (2000kg) or by refueling once the flight has started (breaks released) Landing Rate : 1. Aircraft lands with excessive force - 400 FPM and 1.6 G’s 2. The aircraft landing rate exceeds the maximum certified landing rate of - 600 FPM or 2.2 G’s. If the aircraft land with excessive force and mark by FUQA, then the pilot is requiring to file a Safety Report at www.hainanva.com Departure Airport – Departing from an airport other than scheduled airport. Arrival Airport – Arriving at the airport other than the scheduled airport. 1. Diversion Diversion is allowed in Hainan Virtual Airlines. Diversions typically occur when one of these events happened: 1. In Flight Emergency 2. Weather enroute 3. Fuel State 4. Aircraft Malfunction 5. Weather at arrival airport is out of limits (Include Approach Minimums) 6. Passenger incident To maintain realism at Hainan Virtual Airlines, Divisions must be due to one of the reasons listed above. * All Diversion is required to submit a Safety Report and a reason. The Safety team will be mark as accepted/rejected. Staff Requirement Staff members at Hainan Virtual Airlines are expected to demonstrate professionalism, strong communication skills, and a solid understanding of virtual airline operations. All staff is required to follow and met the requirement below as listed: 1. All staff members must complete a minimum of one flight every 90 days to maintain active status. 2. Staff members may hold positions at other virtual organizations only with prior approval from the CEO . These roles must not present any conflict of interest or interfere with their responsibilities or performance at Hainan Virtual Airlines. 3. All staff members must be at least 18 years of age at the time of appointment 4. Applicants must hold at least the rank of First Officer within Hainan Virtual Airlines. 5. Staff must be in good standing with the airline , with no recent disciplinary actions (within 2 years) or unresolved conduct issues. 6. Applicants must be active, engaged, and sociable members of the community both before and after joining the staff team. 7. Newly appointed staff will complete a 30 - day probationary period , during which their performance and role suitability will be assessed.
