NEOTECH ENGINEERING · PRACTICAL GUIDE HOW TO STORE INDUSTRIAL LUBRICANTS SAFELY AND CORRECTLY A practical checklist for warehouse and maintenance teams Storage discipline protects lubricant performance before the product reaches the machine. WHY THIS GUIDE MATTERS Good storage protects performance before the lubricant reaches the machine Poor lubricant storage is one of the most overlooked causes of equipment failure in industrial facilities. If you manage a warehouse or maintenance store, the way you handle industrial lubrication products directly affects their performance — and your bottom line. This checklist gives you a clear, actionable framework to store lubricants correctly from the moment they arrive at your facility to the point of use. Neotech Engineering dedicates itself to bringing customers cost- effective products by acquiring information from manufacturers, stockists, and distributors. We offer reliable quality products with on-time delivery and work with customers to become more efficient and profitable through the solutions we provide. 02 THE STORAGE RISK Why proper lubricant storage matters Small storage failures can become equipment failures. Heat, moisture, dust, contaminants, and UV light can accelerate degradation. Many lubricants have a typical shelf life of 12 to 24 months, depending on product type and storage conditions. Contamination can damage bearings, seals, and gearboxes before a visible fault appears. Protect the product before it becomes part of the lubrication system. 03 STORAGE CHECKLIST · 01 1. Create a dedicated storage area Choose a clean, dry indoor space with controlled humidity. Keep lubricants away from boilers, furnaces, direct sunlight, solvents, cleaning agents, and chemical vapours. Use sealed flooring or drip-containment trays for spill management. Restrict access to trained personnel. A dedicated area makes correct storage the default behavior. 04 STORAGE CHECKLIST · 02 2. Control temperature and humidity Stable conditions help keep the lubricant consistent from receipt to use. Target 10°C to 25°C where possible. Avoid repeated heating and cooling cycles that can create condensation inside drums. Watch for oil separation in grease at high temperatures. Use a thermometer and hygrometer to monitor conditions year-round. Record readings as part of the regular store inspection. 05 STORAGE CHECKLIST · 03 3. Store drums to keep air and moisture out Store drums horizontally when appropriate, with bungs at the 3 and 9 o'clock positions. 1. If vertical storage is unavoidable, use drum covers or sealed bung caps. 2. Keep drums off bare concrete on wooden pallets or steel racks. 3. Fit drum pumps with desiccant breather caps during draw-down. 4. The goal is simple: prevent air and moisture from entering during storage and draw-down. 06 STORAGE CHECKLIST · 04 4. Label every container and dispensing tool Record product name, grade, viscosity, arrival date, and expiry date. Colour-code pumps, funnels, grease guns, and transfer containers by lubricant type. Never reuse unlabelled containers or transfer product to unbranded drums. Maintain a lubricant register that matches equipment requirements to approved products. Labels and dedicated tools keep product identity visible at the point of use. 07 STORAGE CHECKLIST · 05 5. Rotate stock and dispense without contamination Use FIFO: place newer deliveries behind existing stock. Mark use-by dates at receipt and check stock monthly. Quarantine product nearing expiry or showing signs of degradation. Keep dispensing equipment capped, covered, and dedicated to one lubricant type. Clean tools before and after use; avoid lint- or grit-shedding rags. Rotate stock deliberately, then protect the product through every dispense. 08 PLANNING THE ORDER Know the shelf-life limits before you order Use these ranges as planning guidance and confirm product-specific limits with the manufacturer or supplier. LUBRICANT TYPE TYPICAL SHELF LIFE KEY STORAGE RISK Mineral oils 3–5 years Oxidation if exposed to air Synthetic oils 3–5 years Additive separation in cold storage Greases 12–24 months Oil bleed, hardening, or softening Cutting fluids / coolants 12 months Microbial growth in diluted form Biodegradable lubricants 12–18 months Faster degradation in warm conditions Shelf life is a planning limit, not a substitute for checking product condition. 09 FINAL STORE CHECK Check compliance and inspect condition Keep Safety Data Sheets accessible for every product. Provide fire extinguishers, spill kits, and adequate ventilation. In India, petroleum-based lubricant storage may be governed by the Petroleum Act, 1934 and Petroleum Rules, 2002; storage above defined quantities may require a PESO licence. Look for cloudy or discoloured oil, grease texture changes, oil pooling, and damaged or corroded seals. Record findings and flag suspect stock for disposal. Make the next step a documented inspection: check the area, record the condition, and flag suspect stock.
